Create your account Go to [joinstarlight.com/sign-up](https://joinstarlight.com/sign-up) and sign up with Google or enter your email for a magic link. No password needed. You'll start on the **Free plan** with 200 credits per month — enough to run your first searches and send outreach. #### 2. Configure your AI settings Navigate to **Settings → AI** and fill in: - **Product or service description** — What you sell and who it's for - **Ideal Customer Profile** — The type of prospect you want to reach - **Your LinkedIn URL** — So AI can reference your background - **Voice & tone** — How you want your messages to sound > **Tip:** The more context you provide, the better your AI-generated messages will be. Include specific details about your value proposition and target market. #### 3. Connect your email Go to **Connectors** in the sidebar and connect your Gmail or Outlook account. This allows Starlight to send outreach on your behalf and track replies. See [Gmail setup](/docs/integrations/gmail) or [Outlook setup](/docs/integrations/outlook) for details. #### 4. Run your first search Click **Search** in the sidebar and type a natural language query like: > "VP of Marketing at SaaS companies with 50-200 employees in New York" Starlight's AI parses your query into filters and searches 250M+ contacts to find matching prospects. Review the results and their match scores. #### 5. Generate and send messages From your search results, select leads and click **Draft Messages**. Starlight's AI will research each prospect and draft personalized outreach. Review the drafts in the **Messages** tab, edit if needed, then approve them for sending. Starlight's search lets you describe your ideal customer in plain English. AI translates your query into precise filters and searches our B2B contact database of 250M+ business professionals. ## How It Works 1. **Type a natural language query** — describe the role, industry, company size, location, or any other criteria 2. **AI parses your query**— Starlight's AI extracts structured filters (title, industry, location, employee count, keywords) 3. **Results are scored** — each lead gets a match score based on how well they fit your criteria 4. **Review and act** — add leads to your contacts, generate messages, or export them ### Example Queries - "CTOs at fintech startups with 20-100 employees in San Francisco" - "HR directors at healthcare companies in the Midwest" - "Founders of e-commerce brands doing over $5M revenue" ## Search Results Each result shows: - **Name and title** — the prospect's current role - **Company** — employer name, industry, and size - **Location** — city and state - **Match score** — how well they fit your search criteria (0-100%) - **Contact info** — email and phone when available ## Loading More Results Click **Load More** at the bottom of your results to fetch the next page of matching prospects. ## Sharing Results You can share a search's results via a public link. This is useful for collaborating with team members who may not have a Starlight account. ## Saved Searches Pin frequently-used searches to access them quickly from the Search page. Your recent searches are also saved automatically. ## Credit Costs | Action | Credits | | --- | --- | | Search | 12 | | Load more results | 6 | | AI search enhance | 2 | --- # Contacts Manage your leads through a 6-stage sales pipeline. The Contacts page is your central hub for managing prospects. View leads as a sortable table or a visual kanban board, and track each one through your sales pipeline. ## Views ### Table View A spreadsheet-style grid showing all your contacts with columns for name, title, company, status, email, and more. Sort by any column and filter by status. ### Kanban Board A drag-and-drop board where each column represents a pipeline stage. Move leads between stages by dragging their cards. ## Pipeline Stages Every contact moves through a 6-stage pipeline: | Stage | Description | | --- | --- | | **New** | Just added from search results | | **Contacted** | First outreach sent | | **Engaged** | Opened or clicked your message | | **Responded** | Replied to your outreach | | **Meeting Booked** | Meeting scheduled | | **Converted** | Deal closed or next step confirmed | ## Contact Details Click any contact to open their profile panel showing: - Full name, title, and company - Email and phone number - LinkedIn profile - Match score and reasons - Outreach history and status - Professional background ## Exporting Contacts ### CSV Export Download your contacts as a CSV file for use in spreadsheets or other tools. ### HubSpot Export Sync contacts directly to your HubSpot CRM. See [HubSpot integration](/docs/integrations/hubspot) for setup and field mapping details. ## Bulk Actions Select multiple contacts to perform bulk actions like generating messages, changing status, or deleting. ## Deleting Contacts When you delete a contact, you'll see a 7-second undo window to recover it if needed. --- # Messages AI-generated outreach drafts personalized to each prospect. The Messages page shows all your AI-generated outreach organized into three tabs: **Drafts**, **Scheduled**, and **Sent**. ## How AI Drafting Works When you generate messages for a lead, Starlight's AI: 1. **Researches the prospect** — searches the web for their background, company news, and recent activity 2. **Reads your AI settings** — uses your product description, ICP, and voice tone preferences 3. **Drafts a personalized message** — writes outreach that connects your offering to their specific situation > **Tip:** Configure your [AI settings](/docs/settings/ai-config) with detailed product info and writing samples for the best results. ## Reviewing Drafts Each draft appears in the **Drafts** tab for your review. You can: - **Edit** the subject line and body before sending - **Approve** to move it to the Scheduled tab - **Reject** to discard it - **Pin** important leads for priority review ## Template Variables Messages can include variables that are replaced at send time: | Variable | Replaced With | | --- | --- | | `{{firstName}}` | Prospect's first name | | `{{company}}` | Prospect's company name | | `{{title}}` | Prospect's job title | ## Scheduled Sending Approved messages are automatically scheduled during optimal business hours: - **Tuesday–Thursday**: 8:30 AM – 5:00 PM - **Monday**: 11:00 AM – 5:00 PM - **Friday**: 8:30 AM – 12:00 PM - **Weekends**: No sends All times are in Eastern Time by default. Messages are staggered so they don't all land at the same moment. ## Multi-Channel Support Messages can be sent via **email** or **LinkedIn**, depending on the sequence step type. Email messages require a connected Gmail or Outlook account. ## Credit Costs | Action | Credits | | --- | --- | | Generate messages | 10 | | Sequence email send | 5 | --- # Sequences Multi-step automated outreach campaigns with email and LinkedIn. Sequences let you build multi-step outreach campaigns that automatically send follow-ups over time. Each sequence consists of ordered steps with configurable delays between them. ## Creating a Sequence 1. Navigate to **Messages** and create a new sequence 2. Name your sequence (e.g., "SaaS VP outreach — Q1") 3. Add steps in order — each step defines the channel and timing ## Step Types | Type | Description | | --- | --- | | **Email** | Sends a personalized email via your connected Gmail or Outlook | | **LinkedIn Connection** | Sends a LinkedIn connection request with a note | | **LinkedIn Message** | Sends a LinkedIn direct message | ## Setting Delays Between each step, set a delay in business days. For example: - **Step 1**: Email (Day 0) - **Step 2**: LinkedIn Connection (Day 2) - **Step 3**: Follow-up Email (Day 5) - **Step 4**: LinkedIn Message (Day 8) Delays are counted in business days — weekends and off-hours are skipped automatically. ## Enrolling Contacts Select contacts from your Contacts page and enroll them in a sequence. Starlight will: - Generate a personalized message for each step and each contact - Schedule sends during [business hours](/docs/features/messages#scheduled-sending) - Stagger sends so messages don't all go out simultaneously ## Monitoring Performance Track how each sequence is performing: - How many contacts are enrolled - Which step each contact is on - Open and reply rates per step ## Reordering Steps Drag and drop steps to reorder them within a sequence. ## Credit Costs Each email sent through a sequence costs **5 credits**. AI-generated drafts for sequence steps cost **10 credits** per draft. --- # Inbox Track replies and draft AI-powered follow-ups. The Inbox shows all replies from prospects, organized as threaded conversations. When someone responds to your outreach, it appears here with full context. ## Viewing Replies Each inbox item shows: - **Prospect name and email** - **Subject line** and preview - **Full conversation thread** — see the entire back-and-forth - **CC recipients** if any - **Timestamp** with relative time display Click a message to expand the full thread and see all previous exchanges. ## AI Reply Drafting When you need to respond, click **Draft Reply** and Starlight's AI will: 1. Read the full conversation thread for context 2. Research the prospect's latest activity 3. Draft a personalized response with a suggested subject line Review the draft, edit as needed, then send. > **Tip:** AI replies work best when your [AI settings](/docs/settings/ai-config) include your product description and ideal customer profile. ## Follow-Up Reminders Set a reminder on any conversation to follow up later. Choose a date and optionally add a note about what to follow up on. Starlight will also suggest follow-up timing based on prospect engagement signals. ## Managing Your Inbox - **Pin** important conversations to keep them at the top - **Mark as read/unread** to track what needs attention - **Delete** conversations with a 7-second undo window - **Copy email** to quickly grab a prospect's address ## Credit Costs | Action | Credits | | --- | --- | | AI reply draft | 5 | --- # Calendar View meetings, sync calendars, and get AI-generated meeting notes. The Calendar page shows all your meetings in one place, synced from your connected calendar providers. ## Calendar Views Switch between four views depending on your preference: | View | Description | | --- | --- | | **Agenda** | Monthly timeline list of upcoming meetings | | **Month** | Traditional calendar grid | | **Week** | Weekly schedule with hourly breakdown | | **Day** | Single-day view with detailed time slots | ## Calendar Integrations Connect a calendar provider: - [Google Calendar](/docs/integrations/google-calendar) — Two-way sync via OAuth ## Meeting Details Each meeting shows: - Time and duration - Attendee names (linked to your contacts when matched) - Meeting title and description - Meeting notes ## Meeting Prep Sheet Click a meeting to open the prep sheet, which includes: - **Attendee profiles** — matched against your contacts database - **AI meeting notes** — automatically generated summaries and talking points - **Preparation guidance** — key topics and context for the call Navigate between meetings with previous/next buttons. ## AI Meeting Notes After meetings, Starlight generates AI-powered notes summarizing key points and action items. This costs **5 credits** per generation. --- # Metrics Track your outreach performance with visual analytics. The Metrics page gives you a complete view of your sales outreach performance through charts, tables, and key statistics. ## Key Statistics At the top of the page, you'll see snapshot metrics: - **Total leads searched** — how many prospects you've found - **Active sequences** — currently running outreach campaigns - **Messages sent** — total outreach delivered - **Reply rate** — percentage of messages that got a response - **Conversion rate** — leads that moved to Meeting Booked or Converted - **Average response time** — how quickly prospects reply ## Activity Heatmap A visual grid showing when your outreach activity is highest. Use this to identify your most active days and times. ## Pipeline Breakdown A pie chart showing how your leads are distributed across the 6 pipeline stages (New, Contacted, Engaged, Responded, Meeting Booked, Converted). Quickly spot bottlenecks in your funnel. ## Outbound Funnel A waterfall chart tracking how leads convert through each stage of your pipeline. See where drop-off happens and optimize your approach. ## Trend Chart A time-series graph showing how your key metrics change over time. Track improvements in reply rates, conversion rates, and other KPIs week over week. ## Performance Tables Detailed tables showing: - **Top performing sequences** — which campaigns drive the most replies and conversions - **Top performing channels** — email vs. LinkedIn effectiveness - **Message statistics** — open rates, click rates, and reply rates by campaign --- # Notifications Stay on top of messages, replies, meetings, and credit usage. Starlight sends notifications to keep you informed about important events. Access them from the **Notifications** icon in the sidebar. ## Notification Types | Type | Description | | --- | --- | | **Message Sent** | Confirmation that your outreach was delivered | | **Reply Received** | A prospect replied to your message | | **Meeting Soon** | Reminder about an upcoming meeting | | **Credits Low** | Your credit balance is running low | | **System** | Platform updates and announcements | ## Managing Notifications - **Mark as read** — click a notification to mark it as read - **Mark all as read** — clear all unread indicators at once - **Dismiss** — hide a notification from your list - **Load more** — paginate through older notifications ## Clickable Actions Most notifications are clickable and will take you to the relevant page: - Reply notifications open the **Inbox** - Message sent notifications open **Messages** - Meeting reminders open the **Calendar** Unread notifications are visually distinguished with a dot indicator. --- # Gmail Connect Gmail to send outreach and track replies. Connect your Gmail account to send outreach emails and receive replies directly in Starlight. ## Setup #### 1. Go to Connectors Click **Connectors** in the sidebar #### 2. Click Connect Gmail Under the Email section, click **Connect** next to Gmail #### 3. Authorize with Google Sign in to your Google account and grant Starlight permission to send and read emails on your behalf #### 4. Configure sender name Optionally customize the sender name that appears on outgoing emails ## Permissions Starlight requests the following Gmail permissions: - **Send emails** — to deliver your outreach messages - **Read emails** — to track replies and populate your inbox - **Manage labels** — to organize sent and received messages > **Info:** Starlight never reads emails unrelated to your outreach. Only threads initiated by Starlight are tracked. ## Rate Limits To protect your email reputation and comply with Gmail's sending limits, Starlight enforces a daily send limit per connected account. You can configure this limit in the Connectors page. Gmail's own limits are typically 500 emails/day for personal accounts and 2,000/day for Google Workspace accounts. ## Disconnecting To disconnect Gmail, go to **Connectors** and click **Disconnect** next to your Gmail account. This revokes Starlight's access to your Gmail. Any scheduled messages that haven't been sent yet will remain in the Scheduled tab but won't be delivered until you reconnect. --- # Outlook Connect Outlook to send outreach and track replies. Connect your Outlook account to send outreach emails and receive replies directly in Starlight. ## Setup #### 1. Go to Connectors Click **Connectors** in the sidebar #### 2. Click Connect Outlook Under the Email section, click **Connect** next to Outlook #### 3. Authorize with Microsoft Sign in to your Microsoft account and grant Starlight permission to send and read emails #### 4. Configure sender name Optionally customize the sender name that appears on outgoing emails ## Permissions Starlight requests permission to: - **Send emails** — deliver outreach messages from your account - **Read emails** — track replies in your Starlight inbox > **Info:** Only threads initiated through Starlight are tracked. Your personal emails are never read. ## Rate Limits Daily send limits can be configured per account in the Connectors page to protect your email reputation. ## Disconnecting Go to **Connectors** and click **Disconnect** next to your Outlook account. Pending scheduled messages will remain but won't send until you reconnect. --- # Google Calendar Sync your Google Calendar to view meetings in Starlight. Connect Google Calendar to see all your meetings in Starlight's Calendar view. ## Setup #### 1. Go to Connectors Click **Connectors** in the sidebar #### 2. Click Connect Google Calendar Under the Calendar section, click **Connect** next to Google Calendar #### 3. Authorize with Google Sign in and grant Starlight read access to your calendar events ## What Syncs - **Events** — all calendar events including title, time, duration, and description - **Attendees** — participant names and email addresses - **Meeting links** — video call URLs (Zoom, Meet, etc.) Starlight automatically matches attendee emails against your contacts database, so you can see which prospects you have upcoming meetings with. ## Two-Way Sync Google Calendar is the only calendar integration with two-way sync. Events created or modified in Google Calendar are reflected in Starlight, and meeting deletions in Starlight can optionally notify attendees. ## Disconnecting Go to **Connectors** and click **Disconnect** next to Google Calendar. Your calendar view will no longer show events from this account. --- # HubSpot CRM Sync contacts between Starlight and HubSpot. Connect HubSpot to import existing contacts into Starlight or export your Starlight leads to HubSpot. ## Setup #### 1. Go to Connectors Click **Connectors** in the sidebar #### 2. Click Connect HubSpot Under the CRM section, click **Connect** next to HubSpot #### 3. Authorize with HubSpot Sign in to your HubSpot account and grant Starlight permission to read and write contacts ## Importing from HubSpot Import your existing HubSpot contacts into Starlight: 1. Go to **Connectors** and find your HubSpot connection 2. Click **Import Contacts** 3. Starlight fetches all contacts from your HubSpot portal 4. Contacts are deduplicated by email — existing leads won't be duplicated Imported contacts appear in your Contacts page with status "New". ## Exporting to HubSpot Export Starlight leads to your HubSpot CRM: 1. Select contacts from the Contacts page 2. Click **Export to HubSpot** 3. New contacts are created in HubSpot; existing ones (matched by HubSpot contact ID) are updated ## Field Mapping | Starlight Field | HubSpot Field | | --- | --- | | First name | `firstname` | | Last name | `lastname` | | Email | `email` | | Phone | `phone` | | Company | `company` | | Title | `jobtitle` | ## Deduplication Starlight tracks which leads are linked to HubSpot contacts via an internal ID. On re-import or re-export: - Contacts already linked are **updated**, not duplicated - New contacts are **created** in the target system - Matching is done by the stored HubSpot contact ID first, then by email ## Disconnecting Go to **Connectors** and click **Disconnect** next to HubSpot. Your existing contact data in Starlight is preserved, but future syncs won't work until you reconnect. --- # Profile Manage your name, email, and account details. View and manage your account information from **Settings → Profile**. ## Profile Information Your profile shows: - **Name** — your display name across the platform - **Email** — the email address associated with your account - **Avatar** — your profile picture (pulled from your Google account if you signed up with Google) - **Member since** — when your account was created - **Credit allowance** — your current plan's monthly credit limit ## Updating Your Profile Click on your profile fields to update your name or other details. Your email address is tied to your authentication method and cannot be changed directly. --- # AI Configuration Customize how Starlight's AI writes your outreach. The AI settings page controls how Starlight generates messages, replies, and meeting notes. The more context you provide, the more personalized and effective your AI output will be. Go to **Settings → AI** to configure these settings. ## Product or Service Description Describe your product or service, who it's for, and what makes it valuable. This is the primary context the AI uses when drafting outreach. **Good example:** "We sell an AI-powered inventory management platform for mid-market e-commerce brands. We reduce stockouts by 40% and save ops teams 15 hours/week on manual reorder calculations." **Good example (service):** "We provide fractional CFO services for Series A-C startups. We help founders understand their burn rate, prepare for due diligence, and build board-ready financial models." **Bad example:** "We sell software." ## Website URL Enter your company website. The AI may reference it when drafting outreach to add credibility. ## Ideal Customer Profile Describe the type of prospect you want to reach. Include details like: - **Role/title** — VP of Operations, Head of E-commerce, etc. - **Company size** — 50-500 employees, $10M+ revenue - **Industry** — e-commerce, SaaS, healthcare - **Pain points** — what problems they face that your product or service solves ## Sender Context ### LinkedIn Profile URL Provide your LinkedIn URL so the AI can reference your professional background when establishing credibility in outreach. ### Professional Background Describe your experience, expertise, and role. This helps the AI write messages that sound authentically like you. ## Voice & Tone Choose how you want your messages to sound. Options range from professional and formal to casual and conversational. You can also write a custom tone description. ## Writing Samples Paste 2-3 examples of messages you've written that represent your style. The AI will analyze these to match your writing patterns, sentence structure, and vocabulary. > **Tip:** Writing samples are the single most effective way to improve AI output quality. Even one good sample makes a significant difference. ## Tips for Better AI Output - **Be specific in your product or service description** — generic descriptions produce generic messages - **Include quantifiable results** — "saves 15 hours/week" beats "saves time" - **Provide writing samples** — the AI learns your style from examples - **Describe pain points in your ICP** — helps the AI connect your solution to their problems - **Keep your tone setting consistent** — if you write casually, set a casual tone --- # Team Management Invite teammates and manage roles. Manage your team from **Settings → Team**. Your team shares a single credit pool and can collaborate on leads, sequences, and messages. ## Company Settings - **Company name** — displayed across the platform - **Company website** — used for context in AI-generated messages - **Company logo** — upload a logo (PNG, JPEG, WebP, or GIF, max 5MB) ## Roles | Role | Permissions | | --- | --- | | **Owner** | Full access, manages billing, can invite and remove members | | **Member** | Full access to features, cannot manage billing or team settings | Each company has one Owner, who is the billing contact for the Stripe subscription. ## Inviting Members 1. Go to **Settings → Team** 2. Click **Invite Members** 3. Enter the email address of the person you want to invite 4. They'll receive an email invitation to join your company ### Managing Invitations - **Resend** — send the invitation email again - **Revoke** — cancel a pending invitation ## Shared Credits All team members share the company's credit pool. When any member performs a credit-consuming action (search, draft, etc.), it deducts from the shared allowance. The Owner can upgrade the plan to increase the credit pool. ## Switching Companies If you belong to multiple companies, use the company switcher in Settings → Team to switch between them. --- # Security Authentication, sessions, and account safety. Manage your security settings from **Settings → Security**. ## Authentication Methods Starlight supports two sign-in methods: - **Google OAuth** — sign in with your Google account (recommended) - **Magic Link** — receive a one-time login link via email, no password needed Your current authentication method is displayed on the Security settings page. ## Sign Out Everywhere If you suspect unauthorized access or want to terminate all active sessions across devices, use the **Sign Out Everywhere** button. This invalidates all current sessions, requiring you to sign in again on every device. ## Delete Account Permanently delete your Starlight account and all associated data. This action cannot be undone. > **Warning:** Deleting your account removes all your leads, messages, sequences, and settings permanently. If you're the Owner of a company, you'll need to transfer ownership or delete the company first. ## Data Security - **OAuth tokens** are encrypted with AES-256-GCM before storage - **Email content** is stored securely and only accessible to your team - **No passwords** are stored — Starlight uses passwordless authentication exclusively --- # Blacklist Block specific emails from your outreach. The blacklist prevents Starlight from sending outreach to specific email addresses. Manage it from **Settings → Blacklist**. ## Why Emails Get Blacklisted Emails are added to the blacklist for three reasons: | Reason | Description | | --- | --- | | **Bounce** | The email address doesn't exist or the delivery failed | | **Complaint** | The recipient reported your message as spam | | **Unsubscribe** | The recipient manually unsubscribed from your outreach | Bounces and complaints are added automatically when detected. Unsubscribes happen when a recipient clicks the unsubscribe link in your emails. ## Adding Emails Manually You can manually add email addresses to the blacklist: 1. Go to **Settings → Blacklist** 2. Enter the email address 3. Click **Add to Blacklist** Use this for prospects you know you don't want to contact, or for competitors, existing customers, etc. ## Searching the Blacklist Use the search box to find specific emails by partial match. This is useful for checking if a particular address or domain is already blocked. ## Removing from Blacklist Click **Remove** next to any blacklisted email to restore it. The email will be eligible for outreach again. > **Warning:** Removing an email that was blacklisted due to a bounce or complaint may result in further delivery issues. Only remove these if you're confident the issue has been resolved. --- # Understanding Credits How Starlight's usage-based credit system works. Starlight uses a credit-based system. Every AI-powered action costs a set number of credits, and your plan determines how many credits you get each month. ## Credit Costs | Action | Credits | Description | | --- | --- | --- | | Search | 12 | Run a new lead search | | Load more results | 6 | Fetch the next page of search results | | AI search enhance | 2 | AI-powered query refinement | | Generate messages | 10 | AI-draft personalized outreach for a lead | | Sequence email | 5 | Send an email through a sequence | | AI reply draft | 5 | Generate an AI response to a prospect's reply | | Meeting notes | 5 | Generate AI meeting notes | | Website scan | 3 | Scan a prospect's website for context | | LinkedIn scan | 3 | Scan a prospect's LinkedIn for context | | Contact export | 2 | Export a contact to CSV or CRM | | Sales coaching | 5 | Get AI sales coaching insights | ## Checking Your Balance Your current credit usage is always visible in the sidebar at the bottom left. It shows a progress bar with credits used out of your total allowance. You can also see detailed usage in **Settings → Plans & Billing**. ## Monthly Reset Credits reset every 30 days from when your billing cycle started. Unused credits do not roll over to the next month. ## Running Low on Credits When your credits are running low, you'll receive a **Credits Low** notification. You can: - **Upgrade your plan** for more monthly credits — see [Plans & Pricing](/docs/billing/plans) - **Wait for reset** — credits refresh at the start of your next billing cycle ## What Happens When Credits Run Out When you're out of credits: - AI-powered actions (search, drafting, meeting notes) will show an upgrade prompt - Already-scheduled messages will remain queued and send when credits are available - Manual actions (viewing contacts, reading inbox) continue to work normally --- # Plans & Pricing Choose the right plan for your outreach volume. Starlight offers a free tier and 7 paid plans.
